Executive Administrative Assistant

SBC gallery of contemporary art is a non-profit exhibition center and public gallery in Tiohtià:ke/Mooniyaang/Montreal, aiming to provide a platform for artists, curators and cultural workers for projects that critically address current issues in art, culture and society.

SBC's collaborative approach to cultural production runs through our distinctive programming of exhibitions, events, research, publications and public outreach activities. Description of the position:

The person who will occupy the role of Executive Administrative Assistant, a management position, will be responsible for monitoring, guiding and evaluating the progress of administrative files on a daily basis and with a view to achieving the institution's long-term goals. The Executive Administrative Assistant will work closely with the Director of the gallery and the Board of Directors on fundraising, development, strategic planning and institutional expansion. The Executive Administrative Assistant will support the Director in the proper administrative functioning of the organization.

 

General Responsibilities:

Management

• Plan and ensure the proper management of the operational activities of the SBC, including accounting operations

• Support the Director in the implementation of institutional goals, objectives, policies and priorities, including the implementation of facility growth strategies and development programs.

• Ensure the proper functioning of human resources: supervision, training and evaluation of employees and trainees and supervision of the work of external professional consultants if necessary.

Strategic planning and budget

• Oversee the implementation and monitoring of operational strategic planning, in accordance with the mandate and current institutional vision of SBC. This includes coordinating strategic activities and drafting policies, reports and business plans as required, in consultation with the Director.

• Work with the Treasurer and the Director to prepare the budget for approval by the Board of Directors.

Fundraising and development
• Oversee fundraising and donor management activities, and work in conjunction with the SBC Development Committee and the Director towards SBC's annual fundraising. • Identify new partners and initiatives.

• Write applications for community and corporate grants and sponsorships.

• Interact with major individual donors and foundations to apply for funds.

Communications and marketing

•Act jointly with the Director as SBC's external resource person, which includes interactions with the media, community associations and other entities as needed.

• Oversee the development and proper functioning of SBC tools, computer systems and databases;

• Oversee the design, implementation and evaluation of SBC's strategic marketing program.

Essential Qualifications:

We are looking for a dynamic person who has an in-depth knowledge of the Montreal cultural environment and a great interest in contemporary art. The successful candidate will have:

• 3 years of experience in arts management or in the development of a small or medium-sized business;

• Excellent financial management, fundraising, human resources and grant application skills, preferably in the arts;

• Be organized, committed, rigorous and know how to work in a team;

• Demonstrate motivation, great attention to detail, know how to manage pressure and be able to manage several projects at the same time;

• Possess excellent interpersonal and intercultural communication skills;

• Be available occasionally outside working hours when there are events;

• French-English bilingualism, written and spoken.

Salary:

It is a job of 5 days a week, 35 hours a week, with a salary of $23.50 per hour.
